ViziSpot (“ViziSpot”, “we”, “us”) is run by Code Village Solutions. This policy explains what we collect when you use vizispot.com and the ViziSpot app at app.vizispot.com, why we collect it, and the choices you have. Questions: support@codevillagesolutions.com.
What we collect
- Your Google account details. When you sign in with Google we receive your name, email address, profile picture and a Google account identifier. We use these only to sign you in, show who you are to people you work with, and send you messages about your account. We don’t ask for any other Google data, and we can’t see your Google password.
- What you put in ViziSpot. Pictures, folders, regions, notes, attached files, photos, videos and voice recordings, and the transcripts made from recordings. This is your content. We store it so you can use it, and we don’t read it, sell it or use it for advertising.
- Account and plan details. Your workspaces, who you’ve invited and their roles, your plan, and a record of changes made in a workspace (the activity log shown to its members).
- Payments. Subscriptions are handled by Stripe. We never see or store your card number; we keep Stripe’s customer and subscription identifiers and your plan status.
- Waitlist and interest lists. If you leave your email on our website to hear about the launch or about a plan, we keep that address and the date for that purpose only.
- Technical data. Our servers log requests (for example the time, the address of the device making the request and the page asked for) to keep the service secure and working. The app keeps a sign-in cookie, and your browser stores preferences and, when you are offline, uploads and edits waiting to be sent.
We do not use advertising or tracking cookies, and we do not run third-party analytics.
How we use it
- To provide the service: sign you in, store and show your content, let you share it with the people you choose, and transcribe voice recordings.
- To run your account: invitations, receipts, notices about your trial or subscription, security alerts and changes to the service.
- To keep things safe: prevent abuse, fix problems and keep backups.
To turn voice recordings into text, we send the audio of a recording to a speech-to-text provider (Groq). It is sent over an encrypted connection, only for transcription, and not for advertising. The provider returns the text, and we keep the transcript with your note.
Who can see your content
Only you and the people you give access to (as owner, admin, editor, viewer or guest). If you create a public link, anyone who has the link can view what it covers until you revoke it or it expires. Our staff do not look at your content, except when you ask us for help or when the law requires it.
Who we share data with
We use a small number of service providers to run ViziSpot. They handle data only on our instructions. We host the app, database and files on servers we rent, and we use an email service to send our messages (invitations, notices and the waitlist). In addition:
- Google, for sign-in.
- Stripe, for payments.
- Groq, to transcribe voice recordings.
We don’t sell your personal data. We may disclose information if the law requires it or to protect people’s safety or our rights.
Google user data
ViziSpot’s use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google sign-in only to identify you. We don’t use Google user data for advertising, we don’t sell it, and no person reads it except as needed to support you, for security, or to follow the law.
How long we keep it
- While your account is active we keep your content.
- Things you delete (a picture, a note, a file, or a whole workspace) stay in “Recently deleted” for 7 days so you can restore them, then are removed permanently.
- If a trial or subscription ends, the workspace becomes read-only and is kept for 30 days. If you haven’t subscribed by then, its content is deleted.
- Backups of our systems are kept for a limited period and then replaced, so deleted data can remain in a backup for a short time before it disappears.
- Waitlist addresses are kept until you ask us to remove them or the launch period ends.
Your choices and rights
You can see, change and delete your content in the app, and export what you need by downloading it. You can ask us at any time for a copy of your personal data, to correct it, or to delete your account and everything in it, by emailing support@codevillagesolutions.com from the address you signed up with. We reply within 30 days. You can also remove ViziSpot’s access to your Google account at myaccount.google.com/permissions. If you are in Malaysia, you have the rights set out in the Personal Data Protection Act 2010; other places have similar laws, and we respect them.
Security
Connections to ViziSpot are encrypted. Access to your workspaces is limited by role, and what a person can’t see is not revealed to them. No system is perfectly secure, so we also encourage you to keep your Google account secure.
Children
ViziSpot is not intended for children under 16, and we don’t knowingly collect their data. If you think a child has given us data, tell us and we will delete it.
Changes
If we change this policy in a way that matters, we will update the date above and, for significant changes, tell you in the app or by email.
